Boxing gym membership management that actually holds up

Boxing gyms sell four things at once — group classes, open-gym memberships, private pad work, and gear. Here's how to keep them all straight without hiring an admin.

Boxing gyms have a fun-house-mirror version of the standard gym problem: three revenue streams (memberships, class packs, privates), a coach-heavy schedule, and a culture that hates admin. The trick is putting the boring stuff on autopilot so coaches can stay on the mitts.

The four revenue lines to track separately

  • Open-gym memberships — monthly, auto-renew, cancel anytime.
  • Class packs — 10/20-pack for group heavy-bag or sparring classes.
  • Private coaching packages — 5- or 10-session mitt work with a specific coach.
  • Retail/gear — wraps, gloves, mouthguards. Small but real cashflow.

Software that treats these as one bucket ("credits") will lose you money by month three. Each needs its own tracker.

Coach-attached packages

Boxing privates aren't fungible. A 10-pack with Coach Andre isn't the same as 10 sessions "with anyone." Your CRM should attach packages to a specific coach, split revenue automatically, and let the client see their remaining sessions in an app or portal. See our package tracker for the pattern.

The retention curve for a boxing gym

Most boxing gym drop-offs happen in weeks 4–8. New members hit a fitness wall and need a bridge — one recommended class, one check-in from a coach, one small win. A CRM that tags "at risk" members automatically and prompts a coach to reach out is worth more than any marketing spend.

The two hardest cohorts to retain: new-to-boxing women in the first 6 weeks, and men who signed up wanting to spar but haven't been cleared yet. Both need a specific pathway, and both should have a tag on their profile.

Waivers, medical, and sparring clearance

You need three docs on file before anyone touches mitts: liability waiver, medical intake, and (for sparring) a coach's clearance note. Store them on the client profile so a coach can verify in 5 seconds before a session. This isn't paranoia — it's the difference between an insurance claim getting paid and getting denied.
