Gym check-in software
Gym check-in software that costs less than a coffee and takes 60 seconds to set up
Most gym check-in systems want $99/month plus a $300 kiosk. GymManage Pro turns any iPad or Android tablet into a self-check-in kiosk, tracks attendance to the second, and — this is the part nobody else does — actually uses that attendance to save churn.

What gym check-in software actually needs to do
The point of check-in isn't the check-in itself. It's the data. Every check-in is one more datapoint about who's showing up, who's fading, and who's about to cancel. Software that captures the check-in but doesn't do anything with the data is just a slower version of a signup sheet.
GymManage Pro treats check-in as a retention signal first, a compliance check second. When a member goes from 3x/week to 0 check-ins for two weeks, they land on your at-risk dashboard automatically. That's the ROI on gym check-in software — not the moment of check-in, the message you send seven days later.
Self-check-in on any iPad
Members type their name, phone, or scan a personal QR code from their phone. Check-in takes 3 seconds. No proprietary hardware, no key fobs, no wall-mounted scanner. If you have an iPad or an old Android tablet, you have a kiosk.
Kiosk mode is a locked full-screen web app — members can't navigate away, tap a settings button, or accidentally close it. Runs unattended. Reboots into kiosk mode. The front desk gets it back to a login screen with one PIN.
Attendance that drives real decisions
Every check-in updates the member's attendance history. GymManage Pro rolls it up into weekly and monthly averages, flags drops of 50%+, and automatically tags a member as 'at-risk' after two silent weeks.
Your daily dashboard shows a task list: 4 members went at-risk this week. Text Amir, call Priya, email Marcus. That's the whole loop. The gym check-in software captures the signal, surfaces the task, and lets you save the member.
Class check-in and single-session packages
For studios running classes, check-in also validates class packs. Priya taps in, we deduct one session from her 10-pack, show her current balance ('7 left, expires Aug 24'), and prompt for a renewal at 2 remaining. All silent, all fast, all logged.
This means one check-in flow works for open gyms (unlimited memberships), studios (class packs), and PT-heavy schedules (session packs) — same software, same iPad, same kiosk experience.
No hardware, no lock-in, no BS
Some check-in vendors sell you a proprietary $299 kiosk and $89/month software you can't leave without abandoning the hardware. GymManage Pro doesn't sell hardware. Any tablet works. Cancel anytime. Your data exports to CSV in one click. This is what fair software looks like.

Who this is for — and who it isn't
Great fit if…
- Small to mid gym or studio (30–500 members)
- You already have an iPad or can buy a $100 Android tablet
- You care about retention, not just marking bodies present
- You don't want to sign a 12-month contract
- You want class-pack deduction to happen at check-in
Not for you if…
- You need biometric access (fingerprint / face ID entry gates)
- You need to control physical door locks / turnstiles from check-in
- You need 24/7 unattended access-control (add a dedicated access-control vendor)
Pricing
Free for the first 25 members. Pro is $29/month for unlimited members + automations. Studio is $79/month for multi-location and team seats. No hardware fees, no setup, no annual contract.
FAQ
Do I need a special kiosk to run this?
No. Any iPad, Android tablet, or old laptop with a browser works. Kiosk mode is a locked full-screen web app.
How do members check in?
Type their name/phone, or scan a personal QR code from their phone wallet. Both take under 3 seconds.
Does it deduct sessions from class packs?
Yes. On check-in, one session is deducted, the member sees their remaining balance, and expiring packs prompt a renewal message.
Can it control door locks or turnstiles?
No — that's access-control, a different category. Most small gyms don't need it. If you do, pair GymManage Pro with a dedicated access-control vendor (Openpath, Kisi, etc.).
How does check-in help retention?
Attendance data feeds our at-risk detection. Members who stop showing get flagged automatically, so the manager gets a daily 'who to reach out to' list.
What about 24/7 unattended gyms?
GymManage Pro handles the check-in and attendance layer. For physical access at 3am you'll still want a dedicated access-control system.
Does it work offline?
The kiosk stays functional for check-ins if the internet drops briefly — check-ins queue and sync when the connection returns.
How fast can I migrate from another check-in system?
CSV import in under 5 minutes. Historical attendance data migrates too.
