Gym POS system

A gym POS system that doesn't feel like a bank terminal from 2011

Most gym POS systems were built for retail and duct-taped onto fitness. GymManage Pro is a gym POS built the other way around: memberships and packages first, retail as a natural extension. Stripe-backed, fair pricing, no proprietary hardware, no per-transaction lock-in.

What a gym POS system actually needs

80% of gym revenue isn't retail — it's recurring memberships and multi-session packages. A gym POS built primarily for retail (Square, Shopify POS) can process a payment, but it can't tell you which member's card is 3 days from expiring, which package has 2 sessions left, or which membership auto-renews Tuesday.

A real gym POS system runs on member records first: memberships (recurring), packages (finite), one-time products (retail, seminar tickets, gi purchases). GymManage Pro handles all three, plus the renewal automation and failed-card recovery that most POS systems don't even attempt.

Failed cards — where a gym POS earns its keep

Every gym has 3–5% of cards fail every month. On 300 members at $99, that's $900–$1,500 of revenue in limbo every month. A generic POS marks the transaction failed and moves on. GymManage Pro automatically retries at optimized intervals (day 2, day 5, day 8), emails and texts the member with a one-click update link, and only marks the account past-due after the sequence exhausts.

Studios and gyms using this automation recover 60–80% of failed cards without a human touching them. That's a $600–$1,200/month lift on a 300-member gym — 12x the cost of the software.

Stripe under the hood, no lock-in

GymManage Pro uses Stripe as the payment processor. You get Stripe's fees (2.9% + 30¢ US), Stripe's Radar fraud protection, Stripe's dispute handling. Your money lands in your bank account, not the gym-POS vendor's escrow. If you ever leave, your Stripe account and customer records leave with you.

This matters. Some gym POS systems make it deliberately hard to leave — proprietary card readers, hidden merchant accounts, high early-termination fees. GymManage Pro is the opposite by design. Cancel any month with one click. Take your Stripe with you.

Retail without becoming Shopify

Gyms sell some retail: gis, patches, protein, water bottles, seminar tickets, t-shirts, private-lesson add-ons. GymManage Pro handles this as one-time products attached to member accounts (or to a walk-in). Not full inventory management with warehouses — just the retail every fitness business actually does.

For high-volume retail (100+ SKUs, drop-shipping, warehouse) you'd still want Shopify POS. For the 5–20 SKUs a typical gym stocks, GymManage Pro is enough — and keeps every purchase attached to the member profile, so you can see the whole relationship in one place.

Front-desk speed

The best gym POS system disappears at the front desk: iPad, scan the member's phone, done. GymManage Pro runs as a fast web app on any device with a browser — no proprietary hardware, no $200 card reader. If you already have an iPad, you have a gym POS.

FAQ

Is this really a gym POS system?

Yes — it handles recurring memberships, packages, retail products, failed-card recovery, refunds, and reporting. What it doesn't do is act as a traditional retail POS with inventory management for hundreds of SKUs.

Do I need a specific card reader?

No. Any device with a browser works. For in-person tap/insert cards you can pair a Stripe Tap-to-Pay device, or use Stripe's iPhone tap-to-pay directly.

How does failed-card recovery work?

Automatic: on failure, we retry on day 2, 5, and 8, email and text the member with a self-serve card-update link, and only mark past-due after the sequence exhausts. Recovery rates are typically 60–80%.

What are the fees?

Software: $29 or $79/month depending on tier. Payments: standard Stripe fees (2.9% + 30¢ US) — no markup from us. Your merchant account is yours; leave anytime with your Stripe intact.

Can I sell one-time products like t-shirts and seminar tickets?

Yes. One-time products attach to a member profile or a walk-in. Not full retail inventory, but everything a gym typically sells.

How does this compare to Mindbody or PushPress payments?

Cheaper software, portable merchant account, better automatic dunning. Mindbody wins if you need class marketplace + POS in one tool for a chain of locations.

Can I migrate from Square or PushPress?

Yes — CSV export from your current system, CSV import here. Card-on-file migration goes through Stripe's account migration flow (needs support from your current vendor).

Does it handle sales tax?

Yes on one-time products. Set a per-region tax rate; Stripe collects and reports. Recurring memberships are typically tax-exempt in most US jurisdictions — check your state.
