Class booking software

Class booking software that treats a full class as the goal, not a metric

Most class booking software is happy filling 60% of a class and calling it a win. GymManage Pro treats class booking as a retention lever: wait-lists, late-cancel policies, no-show fees, and pack-based booking, all wired into the same CRM that tracks whether Priya is about to churn.

What class booking software actually needs to do

Class booking is trivial to build and hard to get right. Any tool can put slots on a calendar. The features that separate serious class booking software from a Google Sheet are: wait-list promotion, cancellation cutoffs, no-show penalties, class-pack deduction, capacity enforcement, and instructor payout tie-in.

GymManage Pro does all of the above and then does the thing nobody else does — connects the booking data back to retention. Members who stop booking get flagged. Wait-list clients who keep getting bumped get an offer. Instructors who consistently pull the biggest headcount get identified and rewarded.

Class packs and unlimited memberships in one flow

Fitness studios don't sell tickets — they sell packs and memberships. A booking is a pack-deduction (or an unlimited-verify), not a payment. GymManage Pro handles that natively: click 'Book,' one session comes off Priya's 10-pack, she sees the balance, and if she's at 2 remaining she gets a renewal prompt at checkout.

Members on unlimited plans book without a deduction. Members on a paused plan can't book. All the edge cases — comp classes, drop-ins, private-session credits — are first-class objects, not workarounds.

Wait-lists that actually promote people

Half of small-studio class booking software has a wait-list feature that never triggers. GymManage Pro's wait-list is real: automatic promotion when someone cancels, 30-minute confirmation window, and a fallback to the next person if the first doesn't respond. Members love it. Instructors get full classes.

For high-demand studios, the wait-list is where 10–15% of revenue lives. Getting this feature right is the difference between a 68%-full studio and an 85%-full studio.

Late-cancel and no-show policies that get enforced

Every fitness studio has a no-show/late-cancel policy. Very few enforce it, because enforcement is manual and awkward. GymManage Pro enforces automatically: a late-cancel deducts a session from the client's pack (or charges a $10 fee), a no-show does the same, and the client gets a notification explaining why.

Once members know the policy is actually enforced, no-shows drop by 40–60%. That's a huge win for capacity and for the instructors teaching to empty spots.

Public booking or private booking — your choice

Some studios want a public class-schedule page anyone can book from. Others want booking gated behind a member login (unlimited or pack-holders only). GymManage Pro supports both. Toggle per class or per class-type.

Who this is for — and who it isn't

Great fit if…

  • Yoga, Pilates, HIIT, dance, cycling, or boutique studio
  • You sell class packs or unlimited memberships
  • You want no-shows to cost the member, not you
  • You care about retention, not just filling classes
  • You want month-to-month software

Not for you if…

  • You want to appear in the ClassPass marketplace (need a different tool)
  • Your business is 100% private 1-on-1 — you don't run classes
  • You need a 5-location chain with SSO and per-location P&L

Pricing

Free for the first 25 members. Pro is $29/month. Studio is $79/month for team seats and family accounts. No per-instructor fees, no setup, no annual lock-in.

FAQ

Is this a class booking system or a full studio platform?

Both. Class booking is a first-class feature, but it's inside a full CRM with packages, renewals, retention, and payments. That's the point — booking data feeds retention, one tool.

Can members book from their phone?

Yes. Fast mobile web app, no download required. Members log in, book, get a confirmation, add to calendar in two taps.

How does the wait-list work?

When a spot opens, the next person on the wait-list gets a text + email with a 30-minute confirm window. If they don't respond, the offer moves to the next person automatically.

How are no-show fees charged?

Two options: deduct a session from the client's pack, or charge a card-on-file fee. Set per class-type. Both are policy-configurable per studio.

Can I use this alongside ClassPass?

You can integrate manually. ClassPass isn't a native integration yet — we're on their partner waitlist for 2026.

Do you support recurring family bookings?

Yes. Family accounts let a parent book for multiple kids from one login. Each kid uses their own class pack.

Can instructors sub for each other?

Yes — sub/swap flow with automatic member notification and updated schedule.

How fast to migrate from Mindbody or Momence?

Under 15 minutes. Export member and pack CSVs, import here. Class-template rebuild takes another 15 minutes.
