Trial follow-up templates

Gym trial follow-up templates that turn 'thanks for the class!' into paid members

Most gyms let trials die of silence. A great trial follow-up sequence converts 25–40% of trials into paid members — versus the 5–10% you get from 'hope they book again'. Steal these templates. Then run them on autopilot.

Template 1 — Day 1 (same day as the trial)

Subject: Thanks for training with us today, [First Name]

Body: 'Hey [First Name] — awesome having you at [Class / Session] today. Coach [Name] mentioned you crushed [specific thing from the session]. Two things: (1) here's the link to book your next visit — no charge for this week; (2) if you want to talk memberships, I'm at [phone] or reply to this email. Either way, welcome to the gym.'

Why it works: specific personal detail, low-friction next step, no hard pitch.

Template 2 — Day 3

Subject: Sore yet? 😅

Body: 'Hey [First Name] — checking in. If today's the day you're feeling the trial in your legs, you're in the right place. Most people book their second visit on day 3 or 4. Here's the calendar: [link]. If you want to lock in a starter plan (starts at $[X]/mo, no contract), reply and I'll send it over.'

Why it works: acknowledges the physical reality, normalizes booking the next visit, offers the sale without demanding it.

Template 3 — Day 7

Subject: One more class on us?

Body: 'Hey [First Name] — we haven't seen you back yet. That's totally fine — some people take a week to decide. To make it easier: I'll comp one more class this week if you want to give it a second look. Reply with a day that works and I'll book you in. If it's not the right fit that's cool too — just let me know so I can stop pestering you.'

Why it works: removes friction (free second visit), gives permission to say no (killing awkwardness), asks for a reply either way.

How to run these on autopilot

Send them manually and they'll get sent when you remember (which is never). Set them up once in GymManage Pro as an email sequence tied to the 'Trial' pipeline stage, and every new trial member gets all three, on schedule, without you doing anything.

The 'reply and I'll book you' loop still needs you — but the pattern is: the sequence does the reaching out, you handle the humans who reply. Most gyms report going from 2–3 trial replies per week to 8–12.

FAQ

Can I use these templates without your software?

Absolutely. Copy them into your email tool of choice. They work — the software just makes them fire automatically.

How do I personalize {{first_name}} tokens?

GymManage Pro supports merge tokens ({{first_name}}, {{trial_class}}, {{coach_name}}) — templates render per recipient.

What if a client converts mid-sequence?

Move them from 'Trial' to 'Active' and the remaining messages auto-cancel.

Can I tweak the timing (day 2 instead of day 3)?

Yes — every message's send delay is editable.

Does it send from my email?

Yes — configure sender name, reply-to, and signature per workspace. Replies land in your inbox.

Can I A/B test different day-7 messages?

A/B testing is on the Studio plan roadmap. For now, run one message per sequence.

How is deliverability?

Emails send from a verified sending domain to keep out of spam. Add SPF/DKIM records for best results.
