CRM for Pilates studios

A CRM built for the way Pilates studios actually run

Reformer classes with fixed capacity. Duet slots. Private sessions. Comeback clients returning after pregnancy or surgery. GymManage Pro handles the client-relationship texture generic studio software flattens into 'members'.

Pilates clients aren't just members

A Pilates client is more like a coaching relationship than a gym membership. You know their spinal history, their pelvic-floor status, the injury they walked in with 18 months ago and rebuilt around. That data belongs in one screen — not in an instructor's notebook that never leaves the studio.

GymManage Pro gives every client a rich profile: notes, tags, package status, last visit, upcoming renewals. Any instructor picks it up and knows exactly what to do in the first two minutes of the session.

Package tracking that matches how Pilates sells

Pilates studios sell 5-, 10-, and 20-packs, monthly memberships, and unlimited reformer plans that expire on a schedule. Generic gym software either hides this or forces it into 'credits'. GymManage Pro treats each package as a first-class object: sessions used, remaining, expiry date, auto-renew.

When a client is on their last session, you know. When a package expires this week, they land on your renewal list. When someone paid for 10 and used 3 in six months, they surface as 'at risk of not renewing'.

Comeback clients are a superpower — track them

Pilates studios do incredible post-natal, post-surgery, and post-injury work. Tag those clients and set follow-up cadences that respect their timeline. A gentle 'ready to add a second class per week?' at week 8 converts far better than the generic 'renew now' every studio blasts.

Great fit if…

  • Reformer studio with 50–500 active clients
  • You already have (or don't need) a class booking tool
  • You sell packages and unlimited passes, not just drop-ins

  • You need a public marketplace like ClassPass built-in
  • You want an all-in-one POS with retail inventory
  • You have zero clients yet — start free, then upgrade

Pricing

Free for the first 25 clients. Pro is $29/month; Studio (multi-instructor + advanced retention reports) is $79/month. No per-instructor fees.

FAQ

Do we replace Mindbody or ClubReady?

You can, but most studios keep their booking tool and layer GymManage Pro on top for CRM, retention, and follow-ups.

Can I track private vs. group session packages separately?

Yes. Each package type is its own object with its own expiry and pricing.

How do post-natal or post-surgery cohorts work?

Use tags — 'post-natal', 'post-op ACL', etc. — and filter your dashboard to reach the whole cohort in one message.

Can instructors add notes from their phone?

Yes. The mobile web app is fast, made for the studio floor, no separate app to install.

Does it integrate with our reformer booking system?

Import via CSV weekly. Direct integrations for major bookers are in progress.

Can we run intro-offer conversion sequences?

Yes — build a sequence (day 1 welcome, day 5 first-week feedback, day 12 renewal offer) and trigger it when a trial starts.

What if we outgrow the free tier?

Upgrade in-app. Data stays intact.
