Gym renewal reminder software

Gym renewal reminder software that pays for itself the first month

The average gym loses 5–15% of monthly revenue to silent lapses — packages that ran out, members who forgot to renew, and payments that failed with no follow-up. GymManage Pro's renewal reminders catch every one, 14/7/1 day before expiry.

The renewal math is brutal

Say you run 100 members at $150/month. If 5% silently lapse every month and half of them would've renewed with one reminder, you're leaving $375/month on the floor. Over a year that's $4,500 — and the CRM that would've caught it costs $29 or $79 a month.

For personal trainers selling packages, the numbers are worse. A trainer with 30 clients on $600 10-packs loses $1,200 a quarter to unnoticed lapses. That's a full paying client's worth of revenue every 90 days, just from not having a system.

How the reminders work

Every package (session pack, monthly membership, unlimited pass, annual) has an expiry date. GymManage Pro fires reminders at 14 days, 7 days, and 1 day before expiry. Each reminder can be an email to the client, an internal alert for you to text them, or both.

You can customize the timing per package type — a monthly pass might need a 3-day reminder; an annual membership needs a 30-day one.

Failed payments get the same treatment

Stripe fails a card. Most gyms find out four sessions later. GymManage Pro surfaces failed payments the same day, with a one-click 'send retry email' from the client profile. Recovery rate on card-fail dunning is usually 40–60% of the recovered revenue.

FAQ

Does it text or just email?

Email built-in. SMS via Twilio integration on the Studio plan (bring your own Twilio account).

Can I customize the reminder wording?

Yes — every reminder template is editable per package type and per workspace.

What happens if a member renews mid-window?

The remaining reminders auto-cancel. No duplicate nudges.

Can I turn reminders off for specific members?

Yes — per-client opt-out on the profile.

How does failed-payment dunning work?

Stripe fires a webhook. GymManage Pro surfaces the member in a 'card failed' list, with a one-click retry-email button.

Does it work with Square or PayPal?

Stripe is the primary integration. Square and PayPal are on the roadmap; in the meantime, you can log payments manually.

How does this compare to Mindbody's built-in reminders?

Mindbody has member communication, but the retention automations we're describing here are stronger on the higher-tier plans ($269+). GymManage Pro gives you the same on Pro at $29/mo.
