The nine fields every fitness client record needs
Name, email and phone are obvious. The fields people forget are the ones that drive revenue: acquisition source (so you know which marketing works), start date (so you can measure tenure and churn), current package and sessions remaining, package expiry date, payment status, last visit date, and a running notes field.
Last visit date is the single most valuable field in the database. Sorted descending, it is your at-risk list. Anyone who hasn't been in for 14 days and used to come twice a week is about to quietly cancel, and one message usually fixes it.
Why spreadsheets break as a client database
A spreadsheet is a great first database and a terrible fifth one. It breaks in four predictable ways. First, arithmetic drift: sessions remaining is a number you decrement by hand, and after a busy week the number is wrong. Second, no triggers: a spreadsheet can't tell you a package expires Friday. Third, single-user: two people editing means a duplicate file called 'clients_final_v2'. Fourth, no history: overwrite a cell and the previous value is gone, which is a problem the first time a client disputes a session count.
The failure point is usually somewhere between 20 and 40 active clients. Below that, memory covers the gaps. Above it, memory doesn't.
Migrating without losing a week
Export your spreadsheet to CSV. Clean it once: one row per client, consistent date format, remove blank rows. Map the columns during import — GymManage Pro will match name, email, phone, package, sessions remaining and expiry automatically and let you fix anything it guesses wrong.
