How much does gym management software cost in 2026?
Almost every vendor hides pricing behind a demo call. Here are the real numbers by gym size, the fees that don't appear on the pricing page, and a simple test for whether you're overpaying.
The short answer
- Solo trainer / under 50 clients: $0–$49 per month
- Boutique studio, 50–300 members: $50–$150 per month
- Independent gym, 300–1,000 members: $150–$400 per month
- Multi-location or 1,000+ members: custom quote, typically $500–$2,000+ per month
Payment processing sits on top of all of these — usually 2.6%–3.5% plus $0.30 per charge. On $20,000 of monthly member billing, a one-point difference in processing rate is $200 a month: often more than the software itself.
Why the same product quotes three different prices
Pricing in this category is driven by four multipliers, not by feature count:
- Active member count — most vendors band pricing every 100–250 members.
- Staff seats — $10–$25 per extra login is common.
- Locations — a second site frequently doubles the base fee.
- Add-on modules — branded app, SMS, access control, marketing automation.
This is why "how much does gym management software cost" has no single answer on vendor sites: your quote is a function of your size, not a menu price.
The seven fees that inflate a quote
- Onboarding / setup fee — $199–$1,500 one-off, sometimes waived on annual plans.
- Data migration — charged when you want more than a plain CSV import.
- Per-seat staff logins — bites hardest for studios with many part-time coaches.
- SMS credits — $0.02–$0.05 per message; a 400-member gym on reminders can spend $40+/month.
- Branded mobile app — $50–$300/month for something most small studios don't need.
- Elevated processing rates — the quiet one. A "cheap" platform at 3.5% costs more than a $99 platform at 2.6% the moment your billing passes ~$10k/month.
- Annual lock-in — advertised monthly price often assumes a 12-month prepay.
Work out your real cost per member
Use this back-of-envelope formula:
True monthly cost = base fee + seats + SMS + (monthly billing volume × processing rate)
Divide by active members. Healthy benchmarks in 2026: under $1.50 per member per month for a studio, under $0.80 for a gym over 500 members. What you should actually be paying for
For a studio under 300 members, the features that return money are narrow:
- Reliable recurring billing with automatic failed-payment retries
- Renewal and package-expiry reminders

- Churn-risk flags for members who stopped showing up
