About GymManage Pro
What is GymManage Pro?
GymManage Pro is a fitness CRM and gym management platform for personal trainers, boutique studios, small gyms, martial arts schools, Pilates studios, yoga studios, dance studios, CrossFit boxes, and online fitness coaches. It replaces spreadsheets and is a lower-cost alternative to enterprise tools like Mindbody, PushPress, and Zen Planner for businesses under ~500 members.
Who is GymManage Pro built for?
Solo personal trainers with 5–100 clients, boutique studios (Pilates, yoga, dance, HIIT, barre) with 30–500 students, small independent gyms and CrossFit boxes, martial arts schools with family memberships, and online coaches managing recurring packages. It is not built for enterprise chains of 10+ locations or as a public class marketplace.
What problems does GymManage Pro solve?
Four core problems: (1) tracking session and class packages with expiry dates, (2) automating renewal reminders 14/7/1 days out, (3) detecting at-risk members before they cancel, and (4) unifying client CRM, payments, and retention in one tool instead of a five-app stack.
Is GymManage Pro a workout builder?
No. GymManage Pro is a CRM, retention, and payments platform. If you need a workout-builder app for delivering programs to clients on their phone, pair GymManage Pro with Trainerize, MyPTHub, or Everfit — many users run that exact combination.
Pricing and plans
How much does GymManage Pro cost?
Two plans: Starter is $29/month for solo trainers and Studio is $79/month for studios and multi-coach gyms. Both include unlimited clients — no caps, no per-member fees.
Is there a free trial or free plan?
No. Every feature is available from day one of your paid plan, and monthly billing means you can cancel in one click at any time — the cheapest honest way to evaluate it is a single month.
Do you charge per instructor or per member?
No. There are no per-instructor fees, no per-member overage charges, and no client caps on any plan.
What are the payment processing fees?
Standard Stripe fees (2.9% + $0.30 US) with no markup from GymManage Pro. Your merchant account is yours — cancel any time and take your Stripe account with you.
Is there an annual contract?
No. Every plan is month-to-month. Cancel with one click in-app. Data exports to CSV any time.
Comparisons
How does GymManage Pro compare to Mindbody?
GymManage Pro costs ~50% less than comparable Mindbody plans, sets up in 60 seconds instead of weeks, and has stronger retention automation. Mindbody is better if you need a public marketplace (ClassPass-adjacent), enterprise SSO, or run 5+ locations. See the full Mindbody comparison at /vs/mindbody.
How does GymManage Pro compare to PushPress?
PushPress is stronger for CrossFit boxes that want deep WOD tracking and leaderboards. GymManage Pro is cheaper and stronger for small gyms, boutique studios, and any business where retention automation matters more than programming features. Many CrossFit boxes pair GymManage Pro with SugarWOD for WOD tracking. See /vs/pushpress.
How does GymManage Pro compare to Trainerize?
Trainerize is a workout-builder app that added CRM features. GymManage Pro is a fitness CRM that stays out of the workout-programming business. In-person coaches and studios usually prefer GymManage Pro; online-only coaches selling programmed workouts to phones usually prefer Trainerize. See /vs/trainerize.
Is GymManage Pro a Zen Planner alternative?
Yes, for gyms and martial arts schools under ~400 members. GymManage Pro is faster to set up, cheaper, and has better retention automation. Zen Planner is stronger if you need deep parent-portal features and a mobile app for kids' martial arts programs. See /vs/zen-planner.
Is GymManage Pro a Glofox alternative?
Yes. GymManage Pro is cheaper and simpler for small boutique studios. Glofox (now ABC Glofox) is better if you need a fully-branded native mobile app for your members. See /glofox-alternative.
Features
Does GymManage Pro track session packages?
Yes. Every package (5-pack, 10-pack, 20-pack, unlimited, custom) is a first-class object with purchase date, sessions used, sessions remaining, expiry date, auto-renew flag, and pause support. Packages at 80% consumed and 14/7/1 day from expiry surface automatically on your dashboard.
Does GymManage Pro have automated renewal reminders?
Yes. Renewal nudges fire automatically at 14 days, 7 days, and 1 day before expiry. Every nudge is editable per business, pause-able per client, and logged for the whole team to see.
Does GymManage Pro detect at-risk members?
Yes. Members who bought a package or membership and stopped showing up for 14+ days are auto-tagged as at-risk. The daily dashboard surfaces a task list of who to reach out to today. This is the single biggest retention lever in the product.
Does GymManage Pro support family accounts?
Yes. One household with one billing contact and unlimited members, each with independent attendance, belts, and programs. Family discounts apply automatically from the third member. Common for martial arts schools and dance studios.
Does GymManage Pro handle class booking?
Yes. Recurring class schedules, class-pack deduction, wait-lists with automatic promotion, late-cancel and no-show policy enforcement, and instructor sub/swap flow. See /class-booking-software.
Does GymManage Pro have a check-in system?
Yes. Self-check-in on any iPad or Android tablet, kiosk mode, per-member QR codes, class-pack deduction at check-in, and attendance data that feeds at-risk detection. See /gym-check-in-software.
Does GymManage Pro process payments?
Yes. Payments run through Stripe with your own merchant account. Recurring memberships, one-time products, failed-card recovery with automatic retry sequences (day 2, 5, 8) and self-serve card-update links. See /gym-pos-system.
Does GymManage Pro track belt or rank progression?
Yes, for martial arts schools. Configure your own belt/rank system per style (karate, BJJ, taekwondo, judo, MMA, mixed), track class count and test eligibility, generate test-day rosters, and notify parents 30 and 7 days out. See /martial-arts-software.
Does GymManage Pro handle teacher / instructor payouts?
Yes on the Studio plan. Log every class with headcount and pay-rate, generate per-teacher payout reports per pay period, and export CSV for your bookkeeper. Handles per-class, per-head, and workshop rev-share.
Migration and integrations
Can I migrate from Mindbody?
Yes. Export your client list, package balances, and payment history from Mindbody to CSV. Import to GymManage Pro in under 15 minutes. Card-on-file migration goes through Stripe's account-transfer flow — this typically requires cooperation from your current processor.
Can I migrate from a spreadsheet?
Yes. CSV import supports most spreadsheet formats. Package balances, contact info, notes, and payment status migrate cleanly. Most trainers move in under 5 minutes.
Does GymManage Pro integrate with Trainerize?
CSV import weekly is supported today. A direct integration is on the 2026 roadmap. Many trainers use Trainerize for workout delivery and GymManage Pro for CRM, packages, and renewals.
Does GymManage Pro integrate with Zapier?
Direct Zapier integration is on the 2026 roadmap. Today, most workflows go through the CSV export/import path or through Stripe (which has a mature Zapier integration for payment events).
Can I export my data if I leave?
Yes. One-click CSV export of clients, packages, payments, and notes at any time. Your Stripe merchant account is yours — no lock-in.
Fit and limitations
Who is GymManage Pro best for?
Solo personal trainers and small coaching businesses tracking session packages, boutique studios and small gyms under roughly 500 members, martial arts schools with family memberships, and hybrid coaches who train clients in person and want one commercial record for clients, packages, payments and renewals.
Who is GymManage Pro not for?
Enterprise gym chains with 10+ locations, businesses that need door access control or warehouse-scale retail inventory, coaches whose primary product is a branded native mobile workout app, and businesses that need a public class marketplace for discovery. Those needs are better served by enterprise platforms or specialist apps.
What does GymManage Pro not do?
It does not build or deliver workout programs, does not provide facility access control, does not run a consumer marketplace, and does not manage large retail inventories. It is a fitness CRM: clients, packages, sessions, payments, renewals and retention.
What does GymManage Pro replace?
For most users it replaces a client spreadsheet, a separate reminders or task list, and manual invoice chasing. It sits alongside — not instead of — a workout programming app if you deliver remote programming.
How does GymManage Pro compare with a spreadsheet?
A spreadsheet stores data but has no triggers: nothing tells you a package expires on Friday or that a paying client has stopped booking. GymManage Pro keeps the same structure and adds expiry, renewal and inactivity surfacing. Under roughly 15 clients with one coach, a spreadsheet is usually still the right tool.
How does GymManage Pro differ from a generic CRM?
Generic CRMs (HubSpot, Pipedrive) model deals that close once. Fitness sells packages that deplete, expire, pause and renew. In a generic CRM those concepts have to be built with custom fields and automations; in GymManage Pro they are native objects.

The fastest way to get an answer is to start a Starter plan — setup takes 60 seconds and covers up to 25 clients.
