Gym CRM vs spreadsheet
Spreadsheets are underrated. They are also the reason most trainers lose a renewal every quarter. Here is the honest comparison, including when the spreadsheet wins.
Should a personal trainer use a spreadsheet or a gym CRM?
A spreadsheet is fine while you can hold every client's state in your head — roughly under 15 active clients, one coach, simple packages. A gym CRM becomes worth it when something must happen without you remembering it: package expiries, renewal reminders, at-risk follow-ups, or a second coach needing the same view. Spreadsheets store data; they don't surface who needs attention today, and that gap is where revenue leaks.

Switch when any two are true:
- More than ~15 active clients with packages.
- A second coach or admin touches client records.
- You've missed a renewal or had a session-count dispute in the last quarter.
- You want follow-ups to happen on a schedule rather than when you remember.
Below that, keep the sheet. The cost of switching too early is real: an hour of setup and a monthly bill for problems you don't have yet.
Keep the spreadsheet for the things it's best at
