What is a gym CRM?
Every gym already has a CRM — it's just usually a spreadsheet, a notes app and a coach's memory. This explains what a real one is, what it stores, and when it's worth having.
What is a gym CRM?
A gym CRM (customer relationship management system) is software that stores a single record for every client — contact details, membership or package balance, session history, payment status, renewal date, notes and the next action owed to them — and surfaces the clients who need attention today. It differs from booking software, which manages the calendar, and from workout apps, which deliver programming. A gym CRM manages the relationship and the commercial state of each client.
What a gym CRM actually stores
The definition matters less than the fields. A working gym CRM holds, per client:
| Field | Why it matters |
|---|---|
| Contact and status | Lead, trial, active, paused, lapsed — determines what happens next |
| Package or membership | What they bought and on what terms |
| Sessions used / remaining | Utilisation and renewal timing |
| Expiry or renewal date | Prevents silent churn |
| Payment status | Catches unpaid balances before they compound |
| Last session / last contact | Identifies inactivity early |
| Notes and history | Injuries, goals, preferences — context any coach can pick up |
| Next action + owner | Turns the database into a to-do list |
If a system can't answer "who needs contacting this week and why?" from those fields, it is a contact list, not a CRM.
Gym CRM vs the adjacent categories
- Booking / scheduling software answers "who is in the 6am class?" It optimises the calendar, not the relationship.
- Workout programming apps (Trainerize, TrueCoach) deliver training plans to a client's phone. They know exercise history, not commercial state.
- Generic CRMs (HubSpot, Pipedrive) model deals and pipelines. Fitness has packages, sessions, expiry and attendance — concepts you'd have to build with custom fields.
- Gym management software is the broader suite: CRM plus booking, check-in, payments and reporting. See what gym management software actually does.
When a gym or trainer needs one
There are three reliable triggers, and none of them is client count alone:
- You've forgotten a renewal. One missed 10-pack expiry usually costs more than a year of software.
- Someone else touches your clients. A second coach means memory stops being a shared system.
- You can't answer "who's gone quiet?" in ten seconds. That question is the whole retention game.
What a gym CRM does not fix
It won't make coaching better, won't generate leads on its own, and won't retain a client who has genuinely outgrown you. It removes forgetting as a failure mode. That's a narrower claim than most vendors make, and it is the one that holds up.
How GymManage Pro implements this
GymManage Pro is a gym CRM built around those eight fields. Each client has packages with sessions used and remaining, an expiry date, payment status, session history and notes. Clients approaching expiry or going quiet appear on a daily action list rather than waiting to be searched for. Import is CSV, export is CSV, and pricing is $29/month (Starter) or $79/month (Studio) with unlimited clients.
